Why training videos need captions
People watch training in open offices, on a shop floor, on a phone during a commute or with a headset that isn't plugged in. Captions let them follow along without sound. They also help viewers who are deaf or hard of hearing, people watching in a second language, and anyone trying to catch a product name spoken quickly.
What we deliver
Caption files
SRT or VTT files you upload with the video, so viewers can turn captions on or off.
Burned-in captions
Captions set into the picture, styled in your fonts and colors, for platforms that don't take caption files.
Transcripts
A clean text version of the narration, with headings at each step, for a help article or a study guide.
Checked by hand
Automatic captions get close, then trip on the words that matter most in training: product names, feature labels, acronyms and job titles. We start from a machine transcript and correct it by hand against your term list. Lines are broken where a reader would pause, timed to the voice, and kept short enough to read before they change.
Send a term list
A list of names and terms speeds things up. Include your product and feature names with their exact capitalization, any internal shorthand, and how you want numbers written. If your organization follows an accessibility guideline for captions, tell us which one and we'll check line length and timing against it.
Other languages
We can add captions in other languages from a translation you supply, or arrange translation as a quoted extra. Translated captions need a little more room on screen, so we check the layout after they go in.
Caption style
Caption files take on the look of the player, so styling only applies to burned-in captions. For those we pick a size that reads on a phone, a background box or outline so the text stays clear over a busy screen, and a position that doesn't cover the part of the screen being shown. If a step happens at the bottom of the screen, the caption moves up for that step.
Questions
Can you caption videos we've already published?
Yes. Send the original video files or download links, and we'll return caption files you can upload to the existing videos.
Do captions cover on-screen text too?
Captions cover speech and important sounds. If key information is only shown on screen, we can add it to the transcript or narrate it so nothing is missed.
